Anova Hospice & Palliative Care is a family-owned hospice serving Western Pennsylvania since 2004, and our Carnegie office needs its organizational heartbeat: the coordinator who turns today’s referrals into tomorrow’s admissions.
What this job actually is
We’d rather tell you the truth now than surprise you in week two:

Referrals come in every day, and you set the order of operations. For a hospice family, “we’ll admit you tomorrow” can be too late - you’re the reason it isn’t. You prioritize daily intake so patients are admitted fast.

You own the field team’s schedule - and no schedule survives the day intact. Call-offs, PTO, ad-hoc visits, emergency admissions: when the plan changes at 9:40 AM, you’re the one who reworks it - adjusting assignments and coordinating with clinicians so no patient waits and no nurse is double-booked. It’s live logistics, and it’s the most valued skill in this office.

You live in the details: entering referral, medical, and insurance information into our EMR, verifying physician orders, documenting Certificate of Terminal Illness information, assigning the right payer, prepping Start of Care packs, tracking consents, logging invoices, and monitoring Face-to-Face visit deadlines a month ahead. Medicare and state hospice rules shape all of it - precision here is patient care.

The phones do not stop, and they never ring the same way twice. A daughter in the hardest week of her life. A hospital discharge planner with three other calls holding. A physician’s office chasing an order. A nurse in the field who needs supplies. Sometimes all four in the same ten minutes.
- You keep discharge planners and social workers informed on admissions, coordinate first visits with families, and keep the supply closet stocked and current.
The people part - where you’ll shine
No two calls here sound alike, and that’s exactly what makes this role special. In a single morning you might comfort a daughter in the hardest week of her life, catch a physician’s office in the ninety seconds they have, get a field nurse the supplies she needs, and win over a brand-new referral source - and every one of them hangs up feeling like they reached exactly the right person. That’s a rare gift, and most jobs never let you use it.
If you’re the friend people call because you always know what to say - and the coworker who somehow gets calmer as the day gets faster - you already have the hardest part of this job. We can teach you hospice, KanTime, and Medicare rules. The people instinct is what you bring, and here it’s not a soft skill on a list: in a hospice office, how you answer the phone is the company, and we treat the person who does it that way.

- Monday–Friday, 8:00 AM–4:30 PM. No weekends, no evenings, no on-call.

What you’ll need
- Four years of office/administrative experience - or two years plus an associate degree in business or a related field
- At least one year in a healthcare setting; experience managing or juggling a team’s schedule - clinical scheduling, dispatching, or staffing coordination - is strongly preferred and worth naming in your application
- Strong Microsoft Word and Excel; EMR experience preferred
- Discretion with sensitive information, sound judgment, and the instinct to spot a process that could work better and say so
- The people instinct described above - it’s the heart of the job
